Setting Up Your Tuition Calendar

Step 1: Create a Dedicated Tuition Calendar

Don't mix tuition sessions with personal appointments. In Google Calendar, click "+" next to "Other calendars" → "Create new calendar." Name it your centre name, set a distinctive colour. This keeps your teaching schedule completely separate from personal events.

Step 2: Create Recurring Sessions

For each student with a regular weekly slot: click the time slot → More options → add title using the naming convention [Subject] — [Student Name] ([Grade]) (e.g., "Physics — Arjun Kumar (Class 10)") → change "Does not repeat" to "Every week" → add the parent's email under Guests so they receive an automatic invite.

Step 3: Auto-Generate Google Meet Links

When you add guests to a Google Calendar event, "Add Google Meet video conferencing" appears automatically. Click it. The best part: the Meet link is permanent for recurring events. Students and parents can bookmark the same link and use it for every class — no new link to share each week.

Managing Reschedules and Cancellations

To reschedule one session: click the event → Edit → select "This event" (not "All events") → change the time → Save. Attendees automatically receive an updated calendar invite. To cancel: click the event → Delete → select "This event" → add a note. The calendar notification does the communication work — you don't need to text parents separately.
